Machines & equipments used in the offices

Since our childhood, the word office has been heard as people go to the office for work, and there are several types of equipment/machines used in the office by whose help the work is done. Several machines and equipment are available in the office, making the work easier, faster, and more agile. There are several types of offices, but the machines and equipment used in them are prevalent. The office is a room designed for professional work where people do jobs, run their businesses, etc. The following are the commonly used machines used in different types of offices.

Machines used in the offices:-

As stated, the work in the offices nowadays relies heavily on machines, that's why almost all of the offices need some machines. Therefore, the following are the commonly used machines in offices.

Photocopier machine:

One of the widespread machines used in the office is the photocopier machine. The function of the photocopy machine is to photocopy different types of documents. Sometimes ago, photocopy machines gained their importance in offices. Before that, the documents were typed by hand and written entirely, as it is just like the original document.

However, the photocopy machine made the work easier and time-saving as well as now, within seconds, the document is copied, and the carbon copy of the document is available. The photocopy machine requires maintenance from time to time, such as cleaning and repairs with time, as the machine could not run without proper maintenance.

 

Printers:

Another very common one of the offices' virtual machines is printer as the document has to be printed in both black and white and color formats. Gone are the days when laser printers were only used in photocopy, and now. Now, printers have become one virtual machine for official use and purpose. Like photocopier machines, the printers also need repairs and maintenance from time to time, such as refilling cartridges, as the printer's documents are printed through print cartridges. 

When the ink of these cartridges gets empty, then these cartridges are refilled from printer shops. The printers are used in the offices to print documents such as the offices' rules and regulations, the policies of a particular organization, and other types of instructions. The printers are used in the other departments of the organizations as well. As of now these printers are not only used in the offices. There are the following types of printers. Some of them are discarded and considered obsolete technology now.

 

Dot-matrix printers:

The dot-matrix printers were the first generation of printers introduced in the offices, and those offices were respected a lot that had these printers used in them. However, due to rapid technological change, the dot matrix printers became obsolete. They only printed the documents in black and white, and the inkjet printers began to take their place because inkjet printers could print in color.

 

Inkjet printers:

When inkjet printers took over the printing services from dot matrix printers, inkjet printers became available in most offices, and the offices began to get rid of dot matrix printers. The inkjet printers ran on cartridges, and there were many models of inkjet printers used and available in the offices to have the facility of color and black and white both types of printing, due to the reason that inkjet printers could use both prints in black and white and color as well.

 

Semi-laser and laser printers:

As stated that gone are the days when laser printers and laser photocopy machines were available only in photocopy shops. These laser and semi-laser printers have now made their places in the offices as well. Because it is simpler to manage, these printers have more ink cartridges than inkjet printers. The printing capacity of laser printers is 10000 to 12000 prints, print in an hour. In small offices, semi-laser printers are used, and in big offices, big laser printers are used in large offices where there is a lot more space available.

Therefore, These are some of the printers we are using in our workplace. The publishing business is a rapidly growing, ever-evolving one. The new generation of printers keeps replacing the old generation as the new generation is always more advanced than the older generation and has some innovation.

Scanners:

Scanner machines have also become common in offices to scan a document, which is essential for official use; the scanners scan images and then display them on the computer. Sometimes when the offices' drawers are overflowing, then the people working in that office decide to scan those documents and keep the important documents saved in the computer system. The documents would be saved in the soft copy and would be available later as well. There are different scanner models as well by which different types of photos, documents, objects, etc., could be scanned.

 

Air conditions:

As in the blistering heat in the summer season, it isn't easy to work in the heating temperature. That's why in office machines, the use of Air-conditions (ACS) also comes to mind as now there is a problem of heatstroke due to global warming. Thus, different air conditions are installed in the offices to keep the temperature controlled and maintained.

 

Window AC:

A few decades ago, window ACs were used in the offices, but the problem was that those ACs ran on high voltages; that's why the office people working in the office shifted towards split ACs.

 

Spilled ACs:

In the late twentieth century and the early twenty-first century, the office people began to shift towards split ACs as those air conditions consume less voltage. They were environment friendly as well, by which these ACs prove economical as well.

 

Wi-Fi AC:

Another new invention and innovation in the world of technology are Wi-Fi ACs, as these ACs have the benefit of being turned on and off from far away distances. To turn these ACs on, a person does not have to be physically present in the office, as these ACs could be turned away from the place where they are installed. Therefore, due to this benefit, the big offices in Pakistan are shifting towards Wi-Fi ACs as well.

 

Therefore, the above mentioned are the generations of ACs, which were used in the offices and are also currently being used. Like printers, the new generations of ACs also keep coming, and the offices shift towards these generations of Air Conditions.

Heaters:

Heaters are the exact opposite of ACs as just like ACs are used in the summer season to cooler the temperature; the heaters are used to warm the temperature in the winter season. As many offices are located in cold areas of Pakistan, heaters' installation is a must in freezing temperatures, and it is almost freezing to work in cold offices. There are different models of heaters as well, just like other models of Air Conditions.

 

Computers and laptops:

In the offices, computers were also used to keep the data in the record and save it for the future as the data is required. With time, many revolutions came in computers as the computers' operating systems started from Windows 95. Now in most areas windows, ten is in use in the offices, although some offices use windows 7 and 8 until now as they are also not very old otherwise the old windows have become obsolete now.

When laptops became common in Pakistan, then many offices shifted towards laptops because laptops were more advanced than PCs, and they were portable as well.

Nowadays, in most of Pakistan's offices, laptops are used because they are faster and provide far better services than computers, and computers are considered old technology now. There are several types of laptops that are available for office use.

Mobiles:

Many people in Pakistan consider mobile a waste of time, but much of the office work is also done through mobiles, and mobile phones have made life much more comfortable. In offices, mobiles are used to keep notes which were previously held on post-it notes, and crucial documents could be saved on mobile phones, which were previously saved in hard copies. Digitalization in the world has made the use of technology more comfortable, and offices have also benefitted due to this reason. As now a day's, smart touch screen phones are used with Android or iOS software by which the mobiles can store a lot of data, and the people working in the office, from junior level to senior level, do business transactions on mobile phones. Therefore, mobile phones are also a necessary machine in the office.

 

CCTV cameras:

CCTV (Closed Circuit Television Cameras) are also used in many offices. When the management level people of the bosses have to keep an eye on their staff or see what is going on in the organization, then the CCTV cameras are installed in the offices. Nowadays, there are chances of thefts as well; that's why CCTV cameras have become essential. Like other machines, CCTV cameras have also evolved from time to time when used in offices. Following are the CCTV cameras which were used in the offices and are currently used.

 

Analog CCTV cameras:

The first CCTV cameras installed in the offices were analog, and they were fixed in one direction by which only a particular lace could be seen. However, these cameras exclusively focused on one specific place where it showed that's why they had the drawback that the full view could not be captured.

Digital CCTV cameras:

after analog cameras, digital cameras came into the market as they were rotatable and could cover the whole view. These cameras were able to capture the entire area, which the entire area was completely covered.

HD cameras:

After some time, the HD (High Definition) cameras came into the market, and offices began to shift towards HD cameras as they presented the place where they were attached more clearly than in previous times.

Three hundred sixty degrees/Eagle eye/fish eye cameras:

Now the innovation in the world of cameras is 360-degree cameras, which cover the whole place in complete 360-degree view, and now offices are shifting towards these cameras.

 

Therefore, the above-mentioned are the cameras used in the offices. Now, most offices are shifting towards 360-degree cameras as they are the latest and up-to-date cameras as cover the complete 360-degree view. Now the recordings of 24 hours are done in cameras, and this recording stays safe for one month to 3 months on the hard disk of the cameras.

LED TVs:

In some offices as well, it is essential to hear the news, and due to that reason, Television is installed in those offices such as news offices, etc. Therefore, in some offices TVs are also used and are necessary to know the current situation and what's going on in the city.

Therefore, the above mentioned are the common types of machines used in the offices, and almost all of the offices have these machines now.

There is some equipment used in the offices as well which are as follows:-

Equipment used in the offices

In addition to machines, different types of equipment are also used in offices to different kinds of official work as this equipment helps a lot in easing the job. Following are the common types of equipment used in the office.

Punching machines:

A punching machine is used to punch holes in documents that are in hard copy, and then those documents are attached to files. Punching machines make the two holes in a vertical form on the paper. The distance is equal from both top and bottom; after the holes are made in the documents by punching machines, then those documents are attached to the file after holes are made in that particular paper/document.

 

Staplers:

Another common type of equipment used in offices for attaching documents is staplers. Staplers are used to staple the documents by which the documents stay attached due to being stapled. There are different shapes and sizes of staplers used in offices, but one type of standardized stapler is common.

 

Paper clips:

Common equipment used in the office is paper clips, as paper clips are used to attach a paper and bind the documents together. Paper clips are also widespread equipment for office use.

 

Scissors:

Scissors are being used for domestic usage in most homes. These are the standard office devices used for official purposes.

 

CONCLUSIONS

After all, it can be said that the machines and equipment discussed are used in the office for official use and not a day's these machines and equipment are necessary to complete the office work as they help a lot in doing the work in the office. Some other types of machines and equipment used in the office are fans, pedestal fans, etc.; it is not very important to discuss them as almost all offices have these types of equipment. The following suggestions should be used by the offices by which the offices will stay up to date.

Keep the types of equipment updated:

The offices in Pakistan should keep the equipment updated as some offices are using old equipment and machines until now, which have become obsolete.

Keep the machines and equipment maintained:

All offices should keep the machines and equipment maintained by which the work would be done in lesser time.

Discard obsolete equipment:

Some offices should discard obsolete equipment as in Pakistan some offices are still using outdated equipment types, and they should discard them or sell them and use the money for betterment.

Therefore, when using the machines and equipment, the offices should follow the suggestions mentioned above. However, these suggestions could not be followed immediately but could slowly be followed. Thus, the offices should follow the above-stated tips.
